The Project Manager may also create a process improvement document that reviews the processes used by the project (e.g. what did we do well, what mistakes did we make) so that the organization can learn from this project and make further projects more successful. Because the project was run by a team of people who have spent a lot of time involved in the success of a particular piece of work, that has taken them out of their usual day-to-day activities it is important to hold some type of social closing event. This might be a dinner, drinks or some type of group activity where everyone can be recognized and rewarded for their efforts.
In my opinion, the planning stage provides the project manager with the ideal opportunity to develop team buy-in. As mentioned above, this is often best done by engaging the team members very early within the planning process via collaboration activities. This can be a great strategy! Have the team involved with estimating the costs and schedule they're going to, in the long run, be responsible for. You would be amazed how highly effective this is - I have experienced it's benefit frequently. It's remarkable how hard the team will continue to work towards reaching their "own" obligation instead of a due date that has been handed down. It's a significant difference - utilize the potential of this in your favor. If you incorporate the team in the development of the project budget and schedule you'll be light years ahead.
The purpose of this paper is to gain an understanding of project management and to give a brief overview of the methodology that underpins most formally run projects. Many organizations do not employ full time Project Managers and it is common to pull together a project team to address a specific need. While most people are not formally skilled in project methodology, taking a role in a project team can be an excellent learning opportunity and can enhance a person's career profile.
Think of this as the winding down phase. Tasks, activities, and milestones are almost all completed. The project is officially coming to an end...maybe there are some tasks still being performed to ensure that everything is running accordingly, but for the most part the project is coming to a close. This will usually be a fairly low resource constraint for you. You will be updating any necessary project materials and making sure that the deliverable match the Charter that you defined this project by. This is also where resources will go back to their usual daily activities as was normal before your project began.
Importance of Project Management is an important topic because all organizations, be they small or large, at one time or other, are involved in implementing new undertakings. These undertakings may be diverse, such as, the development of a new product or service; the establishment of a new production line in a manufacturing enterprise; a public relations promotion campaign; or a major building program. Whilst the 1980's were about quality and the 1990's were all about globalization, the 2000's are about velocity. That is, to keep ahead of their competitors, organizations are continually faced with the development of complex products, services and processes with very short time-to-market windows combined with the need for cross-functional expertise. In this scenario, project management becomes a very important and powerful tool in the hands of organizations that understand its use and have the competencies to apply it.
The implementation phase is about tracking and managing the project. The first thing that happens when the project begins is to use the Project Definition Report to create a project plan which defines how to perform what is detailed on the PD report. The PD is more of a summary of the project, so a detailed project plan must be created to fill in the fine detail of how the project will be run. The project plan is the central document that is used to manage the project for its duration so getting agreement and acceptance from all of the team on aspects such as the project milestones, phases and tasks, as well as who is responsible for each task, associated timelines and what deadlines are to be met.
I'm a huge supporter of the fact that you need to start building the team very early on - even if it is just part-time assignment to your project! Do not wait until you have finished the complete plan exclusively on your own. On large projects, the team is everything - be constant in your quest of building a strong team. Your team is the most powerful asset you will have as a project manager. Never forget this!
